Job Summary:
This is a full-time position working Tuesday- Saturdays each week. In this role you will be working at two locations (Grant Rd and Oro Valley) in both the MA and Coordinator positions supporting front and back-office duties.


As a Medical Assistant, you will play a vital role in delivering exceptional patient care and supporting our providers during cosmetic procedures. Your responsibilities will include clinical support, patient education, administrative tasks, and maintaining a positive, efficient clinical environment.

Key Responsibilities

Clinical Support:
  • Assist providers during injectables, laser, and skincare treatments.
  • Prepare and maintain treatment rooms before and after each appointment.
  • Ensure adherence to hygiene, safety, and infection control protocols.
  • Review patient history and ensure all consent forms are completed.
  • Document treatments and take standardized before-and-after photos.
Assistance During Procedures:
  • Prepare injections and syringes as needed.
  • Provide real-time assistance to providers during treatments.
Patient Care & Education:
  • Deliver pre- and post-care instructions clearly.
  • Maintain accurate EMR documentation and upload treatment photos.
  • Educate patients on skincare products and routines.
  • Ensure patient comfort and satisfaction throughout their visit.
Patient Coordinator Duties:
  • Greeting clients warmly and assist with inquiries about services and treatments offered, actively promoting additional services and packages.
  • Schedule initial consultations and follow-up appointments, highlighting the benefits and features of each treatment.
  • Conduct inventory checks and track supply needs using Google Sheets.
  • -Assist during client consultations by providing detailed information on treatments, procedures, and pricing, effectively cross-selling and upselling services.
  • Ensure all necessary paperwork and consent forms are completed accurately and efficiently, discussing pricing and payment options.
 
  • Handle billing inquiries, provide cost estimates, and actively promote membership or loyalty programs to enhance client retention and satisfaction.
 
  • Coordinate treatment schedules and ensure all preparations are made for client visits, actively promoting last-minute openings and promotions.
 
  • Support general administrative duties such as managing appointment calendars and maintaining a tidy reception area to create a welcoming environment.
 
  • Track incoming leads, enter all leads in Zenoti, follow up as needed, and work through call lists notating status.

Requirements:
  • Must be a registered Medical Assistant and be able to provide certificate of completion from an accredited school
  • Prior experience in a medical or aesthetic setting preferred.
  • Strong interpersonal and communication skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Proficiency with EMR systems and Google Workspace tools is a plus.
  • Commitment to professional attire (black scrubs; green on Fridays only) and punctual attendance.
